This Privacy Policy outlines how Full Scale Fitness LLC (“Company,” “we,” “our,” or “us”) collects, uses, discloses, and protects your information when you access or use our services through the website (www.fullscalefit.com) or mobile application (collectively, the “Service”). This policy applies to all clients who access our platform via web or mobile.

By using the Service, you consent to the collection and use of your information as described in this Privacy Policy. If you do not agree with the terms, please do not use the Service.

1. Information We Collect

We collect the following types of data:

Personal Information

  • Name, email address, phone number, mailing address

  • Account credentials (username, login history)

  • Payment-related data (processed by third parties like Stripe and PayPal)

Health & Fitness Information

  • Medical history voluntarily provided through PAR-Q and health assessments

  • Uploaded documents such as physician clearance forms

  • Workout notes, fitness goals, and training progress logs

  • Health metrics via integrations (e.g., Apple Health)

User-Generated Content

  • Photos and videos uploaded by clients

  • Digital signatures submitted through forms

  • Notes or feedback entered into surveys or during training tracking

Technical & Usage Data

  • Device type, browser type, IP address

  • Session logs and activity timestamps

  • Pages visited and time spent on the Service

  • Location data (planned future use for activity tracking)


2. How We Use Your Information

We use your information to:

  • Maintain user profiles and schedule tracking

  • Communicate session updates, cancellations, and confirmations

  • Upload and store client-submitted forms and records

  • Support analytics and improve platform performance

  • Send administrative emails (e.g., confirmations, service updates)

3. Communications and Notifications

  • You may receive emails confirming purchases, session completions, or cancellations.

  • You will not receive marketing emails unless explicitly subscribed.

  • (Planned) Push notifications for session reminders and workout alerts.


4. Third-Party Services

We use trusted third-party vendors to operate parts of our platform:

  • Payments: Stripe Capital and PayPal

  • Email Marketing: Mailchimp (only if you are added manually to our mailing list)

  • Analytics: Google Analytics, AWS tools

  • Health Integrations: Apple HealthKit (future support for Android equivalents)

These vendors are responsible for securely managing your data according to their own privacy policies.


5. Data Security and Service Provider Access

We implement reasonable safeguards to protect your data. However, no system is completely secure, and we cannot guarantee immunity from unauthorized access, data loss, or breach.

We may engage trusted third-party service providers to assist in operating, maintaining, and analyzing our services. These providers have access to your information only to perform tasks on our behalf and are contractually bound not to disclose or use it for other purposes.

By using our Service, you acknowledge and agree that Full Scale Fitness LLC shall not be held liable for any unauthorized access, hacking, data breach, or misuse of personal or health data that occurs beyond our control. 6. Data Retention, Access & Deletion

  • You may request account deletion or data correction by contacting us at info@fullscalefit.com.

  • Clients cannot delete accounts through the app or website independently. However, we retain personal and fitness data only as long as your account remains active or as necessary to provide services. You may request deletion of your data and account at any time by contacting us.

  • Trainers may not modify client records without admin approval.


7. Tracking Technologies and Cookies

We use cookies and similar tracking technologies to improve the functionality and performance of our website and mobile app. This includes:

  • Session Cookies: used to operate our Service

  • Preference Cookies: used to remember user settings

  • Security Cookies: used for authentication and security

You can adjust your browser settings to refuse all cookies or indicate when a cookie is being sent. Please note that disabling cookies may affect the usability of certain features.

We may also use tracking tools like Google Analytics and AWS metrics to understand usage patterns and enhance your experience.

8. App Permissions (Mobile)

  • Camera & Files: Clients can upload photos, videos, and forms.

  • Location: Not currently active, but will be used in future features for tracking walks or syncing with fitness wearables.

  • Microphone: Not currently accessed.


8. Minor and Children’s Privacy

Our services are available to minors (under the age of 18) with the involvement and consent of a parent or legal guardian. For minors to participate in personal training, the parent or guardian must:

  • Create or approve the client profile.

  • Submit required documentation (e.g., PAR-Q, health history).

  • Acknowledge and sign digital forms on behalf of the minor.

We do not knowingly allow minors to register accounts independently. If we become aware that a minor has created an account without proper guardian consent, we will take steps to delete the data and notify the guardian as appropriate.

9. Corporate Clients and Employer-Sponsored Access

Our platform is also used by employees through corporate wellness programs. In these cases:

  • The employer may invite employees to register and participate in services.

  • We collect individual user data as outlined in this policy, not shared with employers unless:

    • Required for program reporting, in aggregate or anonymized form.

    • The employee gives explicit written consent.

Full Scale Fitness LLC does not share personal health or fitness data with corporate clients unless legally authorized or requested directly by the client for communication or participation tracking.

Corporate clients must also agree to separate service agreements that define the scope of services, data handling, and confidentiality expectations.


9. Policy Updates

We may update this Privacy Policy periodically. Any significant changes will be posted here, with the “Effective Date” updated at the top.


11. Compliance with App Store Policies

Our mobile application is designed to comply with the data handling and privacy requirements outlined by both the Apple App Store and Google Play Store. We strive to ensure all data collection, permissions, and disclosures meet platform-specific policies, including those related to user consent, security, and transparency.

12. International Data Transfer and Legal Disclosures

Your information, including personal data, may be stored and processed in the United States or other countries where we or our service providers maintain facilities. By using our services, you consent to such transfer, storage, and processing.

We may disclose your data when required to:
